Salary: £35,000 per annum with the opportunity to earn a performance based bonus
Working week: This is a full-time role which usually operates in-office Tuesday – Saturday, between the hours of 10:00 – 18:00 and 12:00 – 20:00, with some flexibility to meet business needs
Job Summary
As the Theatre Sales & Reservations Coordinator, you will play a vital role in driving premium sales and maximising covers across KOKO Theatre’s hospitality spaces. Working closely with the Theatre Reservations Manager, you will actively engage with prospective guests, convert enquiries into bookings and support ongoing outreach to build repeat and future business.
You will be responsible for managing reservations, coordinating allocations, and ensuring timely communication across departments. With a proactive mindset and strong sales focus, you will contribute directly to revenue growth while helping deliver exceptional guest experiences.
Role & Responsibilities
- Proactively drive sales by identifying new opportunities, following up on warm leads and initiating outreach to maximise premium covers and table bookings.
- Support the Theatre Reservations Manager in delivering weekly targets for VIP ticket sales, Electronic table sales, exclusive area hires and other revenue streams.
- Convert enquiries into confirmed bookings through communication, knowledge and a guest-centric sales approach.
- Assist with upselling and cross-selling hospitality packages, upgrades and bespoke experiences.
- Maintain a clear understanding of sales pipelines and support the completion of proposals and follow-up communication.
- Manage the reservation cycle for Theatre bookings from enquiry handling to confirmation, payment support and post-event follow-up to encourage repeat business.
- Prepare and organise ticketing allocations for premium bookings in collaboration with Live Ticketing, the Electronic team and Theatre Operations.
- Maintain and update the Theatre bookings & ticketing system, ensuring accurate data entry and have an awareness of the integration with member and House of KOKO systems.
- Act as the first point of contact for premium hospitality enquiries, delivering engaged, informed, and solution-focused communication over phone and email.
- Prepare and distribute guest lists for internal teams and artist liaisons.
- Send proposals, collateral, hospitality information and schedule venue tours to support sales conversion.
- Communicate key details daily through service reports, highlighting guest preferences, VIPs and special arrangements.
- Support the preparation of weekly sales and activity reports, tracking proactive outreach, conversions, revenue and sales channel performance.
- Collaborate effectively with internal departments to ensure seamless delivery of guest experiences, addressing challenges with professionalism and a solution-led approach.
- Handle guest feedback and ensure follow-up action is communicated clearly and accurately.
